Terms and Conditions

Please review these terms and conditions carefully before booking travel services through RJT Travels.

Agreement Overview

Welcome to RJT Travels. To offer clarity and transparency, we have outlined our terms and conditions below. These terms and conditions form an integral part of your agreement with RJT Travels.

Full Terms and Conditions

1. General Terms and Agency Relationship

1.1 Agency Relationship and Limitation of Liability

RJT Travels acts solely as an intermediary between clients and third-party travel suppliers, including airlines, hotels, resorts, cruise lines, tour operators, transportation providers, insurance providers, event organizers, excursion providers, and other travel-related vendors.

RJT Travels does not own, operate, control, or supervise any supplier or supplier-provided service. RJT Travels is not responsible for the acts, omissions, errors, delays, cancellations, failures, injuries, losses, damages, or decisions of any supplier or third party.

Clients understand that travel involves risks and circumstances outside RJT Travels' control, including weather, illness, pandemics, political unrest, terrorism, labor disputes, mechanical failures, transportation delays, supplier insolvency, airport or port closures, government actions, safety issues, theft, lost or delayed baggage, and other force majeure events.

To the fullest extent permitted by law, RJT Travels shall not be liable for indirect, incidental, special, punitive, or consequential damages arising from travel arrangements, supplier services, or events outside of RJT Travels' direct control.

Nothing in these Terms limits liability that cannot legally be waived.

1.2 Client Responsibilities

Clients are responsible for providing complete, accurate, and timely information to RJT Travels, including legal names, dates of birth, contact information, travel preferences, payment information, passport details, flight information, emergency contacts, and any other information needed to arrange travel.

Clients are responsible for promptly reviewing all quotes, booking confirmations, invoices, itineraries, tickets, travel documents, and supplier communications. Any errors or discrepancies must be reported to RJT Travels immediately.

RJT Travels is not responsible for costs, penalties, missed services, lost availability, or booking errors caused by delayed responses, inaccurate information, missed deadlines, or a client's failure to review documents.

1.3 Client Authority and Financial Responsibility

The person making a reservation represents that they are at least eighteen (18) years old, have legal authority to enter into these Terms, and are authorized to make travel arrangements for all travelers included in the reservation.

The client is financially responsible for all payments, fees, cancellations, changes, penalties, and other charges associated with the booking, including charges caused by travelers for whom the client is making arrangements.

Clients may not make speculative, false, fraudulent, or unauthorized reservations.

1.4 Electronic Communications

RJT Travels primarily communicates with clients through email, text message, online forms, booking platforms, and other electronic methods.

Clients are responsible for providing and maintaining accurate contact information and for monitoring email, text messages, spam folders, and other communication channels used for booking updates, payment reminders, itinerary changes, supplier notices, and travel documents.

Electronic notices sent to the email address or mobile number provided by the client will be considered received when sent, unless RJT Travels receives notice that the message was undeliverable.

1.5 Electronic Acceptance of Terms

By submitting a payment, approving a quote, completing a booking form, electronically signing an agreement, authorizing RJT Travels to proceed, or otherwise confirming travel arrangements, the client acknowledges that they have received, reviewed, and agreed to these Terms and Conditions.

Electronic signatures, approvals, forms, authorizations, and communications may be used as evidence of the client's agreement and carry the same effect as a handwritten signature to the extent permitted by law.

1.6 Third-Party Websites, Information, and Recommendations

RJT Travels may provide links, recommendations, supplier information, destination information, reviews, websites, products, or services for client convenience.

RJT Travels does not control or guarantee the accuracy, availability, safety, performance, legality, or reliability of third-party websites, suppliers, products, services, reviews, or recommendations.

Clients are responsible for independently reviewing supplier terms, destination requirements, and third-party information before making final travel decisions.

1.7 Right to Limit or Refuse Service

RJT Travels may decline, limit, suspend, or end services when reasonably necessary due to abusive behavior, harassment, threats, fraud concerns, repeated nonpayment, charge disputes, failure to comply with these Terms, supplier restrictions, or other conduct that interferes with RJT Travels' ability to provide services safely and professionally.

If services are limited or ended after travel arrangements have been booked, all applicable supplier cancellation terms, change fees, penalties, and RJT Travels fees may still apply.

1.8 Independent Travel Arrangements

RJT Travels is not responsible for travel arrangements, reservations, purchases, excursions, tickets, transportation, insurance, accommodations, or services booked independently by the client outside of RJT Travels' booking process.

This includes independently booked airfare, hotels, transfers, excursions, event tickets, travel insurance, rental cars, tours, dining reservations, and other supplier services.

RJT Travels may provide limited assistance regarding independently booked arrangements when reasonably possible, but does not guarantee support, changes, refunds, rebooking, coordination, or supplier resolution for those arrangements.

2. Payments, Fees, Quotes, Refunds, and Cancellations

2.1 Payments and Authorization

Travel payments are generally processed directly through suppliers or approved third-party payment platforms. RJT Travels may also collect payments for agency fees, consultation fees, cancellation fees, planning services, promotional fees, or other disclosed charges.

By providing payment information or authorizing a transaction, the client authorizes RJT Travels and applicable suppliers to process approved charges related to the booking, including deposits, balances, changes, cancellations, supplier penalties, agency fees, and disclosed convenience fees.

RJT Travels does not accept cash payments.

2.2 Fee-Free Agency and Agency Fees

RJT Travels is generally a fee-free travel agency, meaning no initial planning or booking fee is charged for standard travel bookings unless otherwise disclosed.

RJT Travels may charge fees for consultation services, airline-only bookings, changes, cancellations, extensive group coordination, custom planning, payment processing, or other services when disclosed to the client.

Any applicable fee, convenience fee, or service charge will be communicated before it is charged whenever reasonably possible.

2.3 Consultation Fee

RJT Travels may charge a consultation fee of up to $100 when substantial planning, quote preparation, itinerary development, travel research, recommendations, or custom travel services have been provided and the client decides not to book through RJT Travels.

The consultation fee may apply after the client has agreed to these Terms, requested planning assistance, received travel recommendations, received a quote, or otherwise received substantial travel-planning services.

Any consultation fee may include a disclosed convenience fee when separately billed.

2.4 Quotes and Pricing

All quotes are subject to supplier availability and may change before payment is received and confirmed.

A quote is not a confirmed reservation. Pricing, taxes, fees, surcharges, room inventory, airfare, supplier promotions, and availability may change without notice until the applicable supplier receives the required deposit or full payment.

RJT Travels is not responsible for supplier pricing errors, electronic errors, clerical errors, website errors, inventory errors, or inaccurate information supplied by third parties.

Clients remain responsible for supplier-imposed increases in taxes, fuel surcharges, government fees, currency fluctuations, mandatory resort fees, port charges, local taxes, or other charges not included in the original quote.

2.5 Refunds

Refundability is governed by the applicable supplier's written terms and conditions.

Unless RJT Travels confirms otherwise in writing, clients should assume that cancellation penalties may apply and that some or all payments may be nonrefundable.

Refunds due from suppliers are subject to the supplier's process, timing, approval, and payment policies. RJT Travels cannot guarantee the timing or amount of any supplier refund.

Refunds owed directly by RJT Travels will generally be issued within ninety (90) days after RJT Travels confirms that the refund is due and receives any required funds from the applicable supplier.

2.6 Cancellations and Changes

All cancellation and change requests must be submitted in writing through email or an approved RJT Travels process.

A cancellation or change request is not considered complete until RJT Travels confirms receipt in writing.

Applicable cancellation penalties, supplier fees, change fees, airline fees, agency fees, and convenience fees may apply.

Failure to make required payments by the stated deadline may result in supplier cancellation, loss of deposit, loss of promotional pricing, loss of accommodations, or other penalties. RJT Travels is not responsible for the consequences of late or missed payments.

2.7 Agency Cancellation Fee

RJT Travels may charge a cancellation fee of up to ten percent (10%) of the pre-tax trip cost when a client cancels a booking after substantial planning or booking services have been provided and the supplier provides a full refund while no commission is paid to RJT Travels.

Any applicable cancellation fee will be disclosed when reasonably possible and may be deducted from a supplier refund where permitted. If deduction is not possible, the client authorizes RJT Travels to separately bill the applicable fee and any disclosed convenience fee.

2.8 Charge Disputes and Payment Issues

Clients should contact RJT Travels promptly regarding any billing question, suspected error, or dispute so that RJT Travels has a reasonable opportunity to review and address the issue.

Nothing in these Terms prevents a client from exercising rights available under applicable law. However, clients are responsible for losses, merchant fees, collection costs, legal fees, supplier debit memos, or other expenses caused by a fraudulent, unauthorized, or improper charge dispute.

RJT Travels may suspend non-emergency services, booking changes, itinerary work, or additional planning services while a payment dispute is pending.

2.9 No-Shows

Failure to appear for a scheduled flight, cruise, hotel stay, event, transfer, excursion, tour, or other booked service may be treated by the applicable supplier as a voluntary cancellation or no-show.

Clients are responsible for all resulting penalties, forfeitures, lost services, rebooking costs, and supplier charges.

RJT Travels is not responsible for obtaining refunds, credits, or replacement arrangements for missed travel services caused by a no-show.

2.10 Additional Costs

Clients are responsible for all costs not specifically included in their confirmed itinerary or supplier invoice, including gratuities, local taxes, resort fees, baggage fees, airport transfers, meals, fuel charges, seat selection fees, onboard service charges, incidental charges, insurance, visas, passport costs, rental-car fees, tolls, parking, and foreign transaction fees.

RJT Travels will make reasonable efforts to identify known additional costs but is not responsible for supplier charges that were unavailable, changed, omitted, or imposed after booking.

3. Booking Accuracy, Travel Documents, Special Requests, and Minors

3.2 Passports, Visas, Entry Requirements, and REAL ID

Clients are solely responsible for obtaining and maintaining all passports, visas, vaccinations, travel authorizations, health documentation, identification, consent letters, proof of return travel, proof of funds, and other documents required by suppliers, airports, cruise lines, immigration authorities, or destination governments.

Clients are responsible for verifying passport validity requirements. Many destinations require passports to remain valid for at least six months beyond the travel date.

For domestic United States air travel, clients are responsible for ensuring they possess an acceptable form of identification, including a REAL ID-compliant license or another TSA-approved identification document where required.

RJT Travels is not responsible for denied boarding, denied entry, detention, deportation, supplier cancellation, missed travel services, or financial loss caused by incomplete, expired, incorrect, or missing travel documents.

3.3 Travel Advisories and Destination Conditions

Clients are responsible for reviewing current travel advisories, health notices, safety information, entry requirements, weather conditions, political conditions, and destination-specific risks before booking and before departure.

RJT Travels recommends reviewing information from the U.S. Department of State, Centers for Disease Control and Prevention, Transportation Security Administration, U.S. Customs and Border Protection, and other relevant government authorities.

RJT Travels does not guarantee the safety, political stability, health conditions, weather conditions, accessibility, or suitability of any destination.

3.4 Special Requests and Accessibility

Clients should notify RJT Travels as early as possible of any special requests, including dietary needs, room preferences, accessibility needs, mobility needs, medical equipment requirements, seating preferences, connecting rooms, bedding requests, or other travel-related accommodations.

RJT Travels will communicate requests to the applicable supplier when reasonably possible, but cannot guarantee fulfillment.

Clients are responsible for confirming whether requested accommodations are available and suitable for their individual needs. Certain suppliers may require advance notice, supporting documentation, a companion, or additional payment for particular accommodations or services.

3.5 Minor Travelers and Parental Authority

A parent or legal guardian is responsible for all travel arrangements, payments, travel documents, permissions, conduct, and expenses for any traveler under eighteen (18) years of age.

Clients booking travel for a minor represent that they have the legal authority to do so and that all required parental, guardian, custody, airline, cruise line, resort, immigration, and destination-country permissions have been obtained.

RJT Travels is not responsible for denied boarding, denied entry, delayed travel, missed travel services, or additional costs resulting from missing consent letters, custody documentation, passports, visas, identification, airline unaccompanied-minor requirements, or other documentation required for a minor traveler.

3.6 Lost Property, Baggage, and Personal Belongings

Clients are solely responsible for personal property, baggage, valuables, passports, medications, electronics, travel documents, and other belongings during travel.

RJT Travels is not responsible for lost, stolen, delayed, damaged, misplaced, or confiscated baggage or property.

Clients must report baggage, property, or document issues directly to the applicable airline, hotel, cruise line, transportation provider, supplier, or insurance provider as soon as possible and within any required claim deadline.

RJT Travels may provide reasonable assistance when possible but does not guarantee recovery, reimbursement, replacement, delivery, or claim approval.

4. Health, Safety, and Risk Acknowledgment

4.1 Client Preparedness

Clients must ensure they are physically and mentally prepared for their chosen travel activities and assume all risks associated with their participation. It is the responsibility of the client to evaluate their own health, fitness, and capabilities before engaging in any travel-related activities arranged by RJT Travels. This includes but is not limited to, excursions, tours, adventure sports, and any other physically demanding activities.

By booking and participating in such activities, clients acknowledge and accept the inherent risks involved, including potential injury, illness, or other health-related issues. RJT Travels strongly recommends that clients consult with their healthcare providers if they have any concerns about their ability to participate in specific activities.

RJT Travels shall not be held liable for any physical or mental health issues that may arise during or as a result of travel activities. Clients agree to hold RJT Travels harmless from any claims, losses, or damages related to their participation in travel activities.

Clients are advised to obtain appropriate travel insurance that covers medical expenses and emergency evacuation in case of unforeseen health issues during their trip.

4.2 Health and Safety

The travel agent is not responsible for the health, safety, or security of the client during their travels. The client is advised to take appropriate precautions and to familiarize themselves with the health and safety conditions of their travel destination.

4.3 Health Precautions

Clients are responsible for taking appropriate health precautions, including obtaining necessary vaccinations and following health advisories for the travel destination.

4.4 Health, Entry, and Supplier Requirements

Clients must comply with all health, safety, entry, documentation, vaccination, testing, screening, quarantine, identification, supplier, transportation, venue, cruise line, resort, airport, immigration, and destination-country requirements that apply before or during travel.

4.5 Safety and Injury

RJT Travels is not liable for any injuries, damages, or losses that occur during the client’s trip. The client is responsible for their own safety and well-being while traveling and is advised to exercise caution and adhere to local safety guidelines and regulations. RJT Travels is not responsible for any damages resulting from unsafe behavior or changes in safety conditions at the travel destination.

4.6 Acknowledgment of Travel Risks

Clients understand and acknowledge that travel to many parts of the world may involve the risk of various hazards to their health and/or safety, including but not limited to disease, crime, terrorism, and warfare. Because each traveler’s risk tolerance is different, RJT Travels is not in a position to mandate whether clients should travel to any particular place at any particular time. To assist clients in making an informed decision, it is recommended that they refer to objective third-party sources of travel information.

4.7 Force Majeure

The travel agent is not liable for any loss, damage, or expense resulting from circumstances beyond their control, including but not limited to natural disasters, acts of terrorism, war, civil unrest, strikes, or government actions. In such events, the client is responsible for any additional costs or losses incurred.

Force Majeure – Destination Weddings Addendum
In the event of unforeseen circumstances beyond the control of RJT Travels — including but not limited to acts of God, natural disasters, government restrictions, pandemics, airline or resort closures, political unrest, or changes to local laws or wedding regulations — RJT Travels shall not be held liable for any cancellation, delay, rescheduling, or financial loss related to the wedding event, travel arrangements, or guest accommodations. This includes, but is not limited to, cancellation of ceremonies, vendor services, group travel, or accommodations due to Force Majeure. Clients are advised to secure travel protection plans that include wedding coverage and cancellation flexibility.

4.8 Emergency Assistance

Emergency Contact Information: Clients must provide RJT Travels with emergency contact information prior to departure.

Assistance Services: RJT Travels can assist clients in emergency situations, such as lost passports or medical emergencies, but cannot be held liable for the outcome of such assistance.

5. Airline and Transportation Terms

5.1 Rental Cars

When booking rental cars through RJT Travels, clients agree to adhere to the terms and conditions set forth by the rental car provider. RJT Travels acts solely as an intermediary and is not liable for any damage, theft, loss, or violations of law that occur while using the rental car. Clients assume full responsibility for the rental vehicle and any associated incidents or legal infractions during the rental period.

Clients are responsible for using their own insurance or purchasing insurance from the rental car provider. RJT Travels does not provide any insurance coverage for rental cars. Additionally, clients are responsible for paying any fees related to fuel, and optional add-ons for the vehicle, including but not limited to GPS, tolls, baby seats, and other accessories.

RJT Travels is not responsible for any additional fees or taxes imposed by the rental car provider or the airport at the time of pickup. These fees may include, but are not limited to, airport fees, local taxes, surcharges, insurance, and any other charges added at the time of rental. It is the client’s responsibility to review and understand the rental agreement and associated costs.

Clients agree to hold RJT Travels harmless for any damages, fines, penalties, or additional charges incurred while using the rental car. Any disputes or claims regarding the rental car must be resolved directly with the rental car provider.

5.2 Airline-Only Booking Fee

RJT Travels reserves the right to charge a booking fee when facilitating airline-only bookings. As there is no commission earned from airline-only bookings, RJT Travels may charge a booking fee of up to 10% of the total airline charge, excluding taxes. The airline charge includes, but is not limited to, the base airfare and any add-ons such as baggage fees, seat selection fees, Wi-Fi, and other ancillary services. This fee compensates for the time and effort spent by RJT Travels in securing the best available flights and ensuring a smooth booking process for our clients.

Clients will be informed of the exact booking fee prior to finalizing their airline-only reservation. By proceeding with the booking, clients acknowledge and agree to the applicable booking fee as outlined by RJT Travels. This fee will be clearly itemized in the payment breakdown provided to the client at the time of booking.

In the event of any changes or cancellations to the airline-only booking, the booking fee remains non-refundable. Clients are advised to review all booking details and terms carefully before finalizing their airline-only travel arrangements.

5.3 Airline Tickets

Airline tickets are highly restrictive, non-refundable, and non-transferable. Modification of passenger names, dates, times, routings, or departure/arrival airports is at the sole discretion of the airline and, if permitted, will likely be subject to a substantial change fee. The client is responsible for any such fees. Regarding the purchase of air tickets, RJT Travels acts solely as an intermediary between the client and the airline. Once a reservation is booked, the client’s credit card or debit card will be charged for the amount shown – regardless of whether or not the reservation is used. Credit will not be given for any unused airline tickets and cannot be used toward any future bookings.

All tickets will be issued for economy class unless otherwise specified. All travel will be round-trip unless otherwise specified. Seat assignments are subject to the airline’s policies and may not be able to be made until the client is at the airport on the day of departure. Airline tickets booked through RJT Travels may not be eligible to earn frequent flyer miles. Clients agree to confirm all bookings with the airline prior to the stated date of departure (RJT Travels recommends confirming 72 hours prior).

Direct flights may be “non-stop” or may involve one or more stopovers (in the latter case, this means the same flight by the airline, as the flight number remains the same). The same applies to connecting flights that may be subject to crew changes. When a client reserves a scheduled or charter flight involving a stopover in a town, and the second flight takes off from a different airport than the airport of arrival, the client must ensure sufficient time for reaching the second airport. The journey to the other airport is at the client’s own expense. RJT Travels will not be able to reimburse the client for these costs, nor will it be liable if the client misses the second flight.

RJT Travels’ responsibilities in respect to air travel are limited by the relevant airline’s conditions of carriage. The airline fulfilling the client’s contract for carriage may change from the airline mentioned by RJT Travels. RJT Travels is not able to specify the type of aircraft to be used by any airline. If an airline cancels or delays a flight, the client must work directly with the airline to ensure they arrive at their destination on or ahead of time. RJT Travels will not provide any refund for trips missed, in part or full.

5.4 International Flights

Some countries require insecticide spraying of aircraft prior to a flight or while you are on the aircraft. Federal law requires that we refer you to the Department of Transport disinfection website. (www.transportation.gov/airconsumer/spray).

5.5 Airline Baggage Fees

Airline baggage fees are subject to change and vary by airline. It is the client’s responsibility to be aware of the current baggage fees, as well as the size and weight restrictions for their luggage, as specified by the airline. RJT Travels is not responsible for informing clients of these fees or ensuring compliance with baggage policies. Clients are advised to check with their respective airline prior to travel to confirm the latest baggage fees and regulations to avoid any unexpected charges or issues at the airport.

5.6 Check-In and Missed Flights

RJT Travels shall not be held liable for any missed flights resulting from the client’s failure to properly check in, navigate TSA security checkpoints, or arrive at the airport with sufficient time. It is the client’s responsibility to ensure timely check-in for their flights, which must occur no less than 2 hours prior to the scheduled departure time and can be completed up to 24 hours in advance. Clients must allocate adequate time for all airport procedures and potential delays. Any expenses or inconveniences incurred due to missed flights under these circumstances shall be borne solely by the client.

5.7 Overbook or Bumped Flights

Airline flights may be overbooked. If a passenger is denied boarding on a flight, they may be entitled to compensatory payment. The rules for denied boarding compensation are available at all ticket counters. Please note that RJT Travels is not liable for any damages or compensation related to airline flights; such matters are the responsibility of the airline.

5.8 TSA PreCheck and CLEAR Encouragement

RJT Travels encourages clients to consider enrolling in TSA PreCheck and CLEAR to expedite their airport security screening process. These programs can provide a more streamlined and efficient travel experience, reducing wait times and potential stress at security checkpoints.

However, RJT Travels is not responsible for any issues or lack of service from these programs, including but not limited to application processing delays, program ineligibility, or operational disruptions. Clients are solely responsible for ensuring their enrollment and status in TSA PreCheck or CLEAR are up-to-date and valid at the time of travel.

RJT Travels shall not be held liable for any missed flights or other travel disruptions resulting from the failure of TSA PreCheck, CLEAR, or any other expedited security program to provide the expected level of service. Clients are advised to allow sufficient time for security screening, regardless of their participation in these programs, to ensure timely arrival at their departure gate.

5.9 Supplier Bankruptcies

If an airline or other Supplier declares bankruptcy, it is not obligated to honor your reservation made before the bankruptcy or to refund tickets issued before the bankruptcy. Travel agents are not permitted to refund tickets on airlines that have declared bankruptcy. Money given to a travel agent immediately becomes the property of the airlines, and we are required by law to comply with the airlines’ orders.

In the event an airline declares bankruptcy, it may continue service, limit service, or cease operations entirely. Other airlines might accept passengers under limited circumstances or may refuse to accept any passengers from the defaulted carrier. There are travel insurance plans available for passengers to protect themselves in the case of airline bankruptcies. RJT Travels strongly recommends considering such insurance to mitigate potential risks associated with airline or supplier bankruptcies.

5.10 Insecticide Notice

RJT Travels recommends that clients refer to the Department of Transportation (DOT) list of airports in countries that require airlines to treat the passenger cabin with insecticides prior to the flight or while on the aircraft. 5.11 Limitation of Liability for Air Transport

In addition to the limitations of liability set forth above, you agree that RJT Travels is not liable for any damages arising from or related to any airline timetable changes, delays, cancellations, missed connections, mechanical problems, inclement weather, seating reassignments, lost/delayed baggage, screening and security delays, refused boarding, or failure to check in properly.

6. Accommodations, Cruises, and Events

6.1 Accommodations

“Accommodations” are defined as lodgings in a dwelling or similar living quarters afforded to travelers, including, but not limited to, hotels, condos, quarters on cruise ships, motels, timeshares, campgrounds, and resorts.

a. Accommodation Classifications
The number of stars attributed to the hotels and other providers of accommodations quoted by RJT Travels corresponds to a classification established as a point of reference in accordance with local standards in the host country. Please be advised that accommodations and the “star” designations may vary from country to country. The comments we make in our descriptions are based on our knowledge of the establishments and the comments we have received from customers. RJT Travels makes no guarantee about the suitability or availability of accommodations, and if the particular accommodations sought are unavailable, we will do our best to reserve comparable accommodations, if possible. Passengers bear any additional costs, such as upgrades. Suppliers reserve the right, for technical reasons, in cases of force majeure or actions by third parties, to replace the planned hotel with accommodation of the same category offering equivalent services. This would only be in exceptional circumstances and in such cases, RJT Travels will inform the Passenger as soon as we are aware of this necessity.

b. Taking Possession of and Vacating Rooms
Policies regarding taking possession of and vacating rooms often vary by hotel and/or country, so it is the Passenger’s responsibility to check with the hotel ahead of time to verify the relevant policies and times. RJT Travels is not responsible for any charges and damages resulting from the Passenger’s failure to timely take possession of or vacate the assigned room.

c. Types of Rooms
Room classifications and amenities may vary by hotel and/or country, so it is the Passenger’s responsibility to check with the hotel ahead of time to verify the specific amenities offered at the time of their stay. RJT Travels makes no guarantee that its descriptions and photographs are an exact representation of the particular rooms offered.

d. Infants
We ask parents traveling with infants to bring the appropriate food for their child, as they may not be able to find it at their destination. You may be asked to pay a charge, for example, for the provision of a cot and/or for heating baby food and drinks. You should request this when making your reservation, though we cannot confirm the availability of such services.

e. Pregnant Women
RJT Travels advises pregnant women to consult their doctors before making any reservation, in order to confirm that it is appropriate for them to participate in the trip. Passengers agree that RJT Travels will not be liable for any damages arising from the inability to participate in any or all of the trip due to pregnancy or related illness, and no compensation will be payable under such circumstances.

6.2 Accommodation Disclaimer

RJT Travels is not liable for any accommodation not providing all amenities advertised or for the accommodation not resembling the images posted prior to booking. Clients acknowledge that descriptions and photographs of accommodations are provided by the accommodation suppliers and may not accurately reflect the actual conditions.

RJT Travels is not responsible for any issues, injuries, or damages that occur at the accommodation, including but not limited to fire damage, bug infestations or bites, water damage, theft, or any other incidents. Clients agree to hold RJT Travels harmless for any claims arising from such issues during their stay at the accommodation. Any disputes or claims regarding the accommodation must be resolved directly with the accommodation provider.

Any reviews about the hotel are provided by the supplier and are not endorsed or written by RJT Travels. RJT Travels is not responsible for the content of these reviews or for any influence these reviews may have on client bookings through RJT Travels. Clients are encouraged to conduct their own research and use discretion when relying on reviews for making booking decisions.

6.3 Cruise Line Booking Disclaimer and Client Responsibilities

Changes, Cancellations, and Errors: RJT Travels is not liable for any changes, cancellations, or errors that occur with a cruise line booking. All cruise bookings are subject to the terms and conditions of the respective cruise line, and clients are responsible for reviewing and understanding these terms. RJT Travels acts solely as an intermediary between clients and the cruise line and cannot control or be held responsible for any alterations, schedule changes, cancellations, or errors made by the cruise line. Any issues or disputes regarding cruise bookings must be resolved directly with the cruise line. Clients agree to hold RJT Travels harmless for any claims, losses, or damages arising from changes, cancellations, or errors associated with their cruise booking.

Port Calls and Return-to-Ship Times: Clients are solely responsible for adhering to all port call times and return-to-ship schedules during their cruise vacation. RJT Travels is not liable if a client misses a trip, excursion, or any part of their cruise due to failure to comply with these schedules. It is the client’s responsibility to be aware of and manage their time effectively to ensure timely return to the ship. RJT Travels cannot be held accountable for any missed activities, additional costs, or disruptions to the travel itinerary resulting from the client’s failure to adhere to the cruise line’s schedule. Clients agree to hold RJT Travels harmless for any claims, losses, or damages arising from missed trips or excursions during their cruise vacation.

Local Currency Requirements: Clients are responsible for meeting local currency requirements while traveling abroad on a cruise ship. RJT Travels is not liable for any issues arising from the client’s failure to secure the necessary local currency for their travel needs.

Injury Onboard or Onshore: RJT Travels is not liable for any injuries sustained by clients while onboard the cruise ship or onshore during the trip. Clients agree to hold RJT Travels harmless for any claims, losses, or damages arising from any injuries incurred during their cruise vacation.

Delays in Transit to the Ship: RJT Travels is not liable for any delays from airlines, trains, or any other transit methods en route to the ship that cause the client to miss the cruise. Clients are responsible for ensuring timely arrival at the cruise departure point and agree to hold RJT Travels harmless for any claims, losses, or damages arising from transit delays that result in missing the cruise.

6.4 Event Tickets

RJT Travels provides assistance in procuring event tickets as part of our travel services. However, RJT Travels shall not be held liable for any event being canceled or delayed. Furthermore, RJT Travels is not responsible for any incidents, injuries, or damages that occur at the venue before, during, or after the event.

While RJT Travels will make every effort to accommodate ticket requests as specified by the client, the ultimate responsibility for supplying the tickets lies with the event host. Changes to seating locations or other modifications may be made by the event host, and RJT Travels is not liable for these changes.

Clients acknowledge and agree that RJT Travels is acting solely as an intermediary in the ticket procurement process and bears no responsibility for the actions or policies of the event host. Any issues or disputes related to the event tickets must be resolved directly with the event host or venue.

6.5 Limitations for Concierge and Optional Services

RJT Travels is not liable or responsible for any reservations the client has made directly with the resort, hotel, tour company, or ship, such as dining reservations, concierge requests, upgraded rooms/airline seats, independently booked tours, private guides, and similar arrangements. In certain circumstances, RJT Travels may assist with restaurant recommendations and/or limited reservations for special events. However, if the traveler is unable to attend these events once their trip has begun, the traveler is responsible for contacting the in-country partner to cancel or change the reservation themselves. RJT Travels will do its best to assist but is not liable for any cancellation fees or delays in processing changes/cancellations.

7. Insurance, Loyalty, and Promotional Programs

7.1 Travel Insurance

RJT Travels strongly recommends the purchase of travel insurance to cover certain risks inherent in travel. As your travel agent, we have a professional responsibility to recommend travel insurance to protect against third-party supplier default/bankruptcy protection, delay, interruption, cancellation, medical emergency transportation/evacuation and repatriation, baggage and personal effects/lost luggage and baggage delay, illness, accidental death and disability, travel accident/sickness medical expenses, and more. Proper insurance may protect you from financial loss in almost all circumstances. By declining appropriate travel insurance, passengers acknowledge and accept liability for any cancellation penalties, damages, and/or out-of-pocket expenses incurred.

If purchasing travel insurance, we urge you to thoroughly read your policy’s confirmation of benefits. This information includes, but is not limited to, details on the extent of coverage and procedures for making a claim. Please note that the travel insurance provider may not be allowed to discuss your claim with RJT Travels due to privacy laws (e.g., HIPAA). Passengers acknowledge and agree that RJT Travels has no control over the travel insurance provider or its coverage decisions and, as a result, RJT Travels is not responsible for and shall not be liable for policy coverage, claims processing, or the denial of any claims.

All travel insurance policies recommended by RJT Travels are issued by third-party insurance providers. RJT Travels acts solely as a referral or intermediary and is not the insurer or underwriter. Clients understand and agree that all policy terms, claim decisions, payouts, or coverage disputes must be addressed directly with the insurance provider. RJT Travels shall not be held liable for any denied claims or issues arising from the client’s interpretation or reliance on the insurance policy.

7.2 Loyalty Programs and Rewards

When booking with RJT Travels, clients may have the opportunity to earn rewards, points, miles, or other benefits through various loyalty programs. However, RJT Travels does not guarantee that you will earn any rewards, points, miles, or other benefits for bookings made through our agency. RJT Travels is not liable for any lost value or benefits due to the inability to earn or receive points, miles, or rewards.

RJT Travels is not responsible for ensuring compliance with any loyalty or rewards program policies, nor are we responsible for managing or maintaining your membership status in any such programs. It is the client’s responsibility to verify their eligibility and to manage their own loyalty program accounts.

RJT Travels is not responsible for any issues related to loyalty or rewards program benefits, points, or rewards. Any discrepancies or problems regarding loyalty programs must be resolved directly with the respective program provider. Clients agree to hold RJT Travels harmless for any actions or losses related to loyalty or rewards programs.

RJT Travels does not guarantee loyalty points for any booking.

7.3 Promotional Terms

Promotional offers and discounts provided by RJT Travels are subject to specific terms and conditions that govern their use. The following conditions apply to all promotional offers and discounts unless otherwise stated:

Applicability: Promotional offers and discounts are applicable only to bookings made directly with RJT Travels and cannot be combined with other promotions, discounts, or special offers unless explicitly stated.

Eligibility: Eligibility for promotional offers and discounts may be subject to specific criteria, including but not limited to travel dates, destinations, or types of services booked. Clients must meet all eligibility requirements to qualify for the promotion.

Usage: Promotional offers and discounts must be used at the time of booking and cannot be applied retroactively to existing bookings. They are non-transferable and have no cash value.

Expiration: All promotional offers and discounts have an expiration date. Bookings must be made by the expiration date to qualify for the promotion. Expired promotions will not be honored.

Changes and Cancellations: If a booking made with a promotional offer or discount is changed or canceled, the promotion or discount may no longer apply. Clients may be responsible for any additional costs incurred due to changes or cancellations.

Limitations: Promotional offers and discounts may be subject to blackout dates, availability restrictions, and other limitations as determined by RJT Travels or the third-party suppliers involved in the booking.

Right to Modify: RJT Travels reserves the right to modify or cancel any promotional offers or discounts at any time without prior notice.

By using promotional offers and discounts, clients agree to these terms and conditions. For any questions or further clarification, clients should contact RJT Travels directly.

RJT Travels acts solely as an intermediary and does not assume any responsibility for the quality, performance, or reliability of the products or services provided by third-party vendors through these referral and affiliate programs.

By choosing to purchase products or services through affiliate links provided by RJT Travels, you acknowledge and agree that RJT Travels shall not be responsible or liable for any claims, complaints, or adverse outcomes associated with these products or services. It is your responsibility to conduct due diligence and assess the suitability and reliability of any products or services before making a purchase.

Notwithstanding such partnerships, RJT Travels shall not be held liable for any actions, statements, or conduct of the influencers. This includes, but is not limited to, any content created, posted, or shared by influencers, as well as any claims, representations, or endorsements made by them.

By engaging with content promoted by influencers associated with RJT Travels, you acknowledge and agree that RJT Travels is not responsible for any inaccuracies, misrepresentations, or other issues arising from the influencer’s content. The opinions and views expressed by influencers are their own and do not necessarily reflect those of RJT Travels.

Clients are advised to perform their own due diligence and exercise independent judgment when considering any information or recommendations provided by influencers promoting RJT Travels and its brands. RJT Travels disclaims any and all liability for any claims, losses, or damages resulting from the reliance on such content.

7.7 Disney Gift Card Promotion

RJT Travels is excited to offer a special gift card with any Disney vacation booking! To qualify, the booking must include both a Disney hotel stay and park tickets and must be booked directly through RJT Travels. Clients are only eligible to receive one gift card, which is awarded on their first booking with RJT Travels. The gift card will be issued within two weeks of the trip date and is not eligible if the trip is canceled or if the booking is modified in a way that no longer meets the requirements. This offer has no cash value, is non-transferable, and may not be resold or exchanged. The promotion is subject to availability and may be modified or discontinued at any time without notice. Additionally, this offer cannot be combined with other promotions unless explicitly stated. RJT Travels reserves the right to determine eligibility and make final decisions regarding this promotion.

8. Client Conduct and Responsibilities

8.1 Refusal of Service

Service providers reserve the right to refuse service to travelers at their sole discretion, including, without limitation, if the traveler:

(i) Lacks proper documentation for the country of destination

(ii) Has a contagious disease

(iii) Is under the influence of alcohol, drugs, or narcotics; and/or

(iv) Manifests disruptive and/or unruly behavior.

RJT Travels assumes no liability for the acts of the service provider in refusing service.

8.3 Client Responsibility

Clients are responsible for complying with all laws and regulations of the destination country, including but not limited to customs, immigration, and health regulations

8.4 Client Conduct

Clients are expected to conduct themselves in a respectful and courteous manner during all interactions with RJT Travels staff and third-party service providers, as well as during the entirety of their trips arranged by RJT Travels. Clients must adhere to all local laws, regulations, and customs of the destinations they visit.

Unacceptable behavior includes, but is not limited to:

–Disruptive or abusive behavior towards RJT Travels staff, third-party service providers, or other travelers

–Violation of local laws or regulations

–Damage to property or facilities

–Endangerment of oneself or others

Failure to adhere to these expectations may result in the following consequences:

–Immediate termination of services provided by RJT Travels without refund

–Liability for any damages caused by the client’s actions

–Reporting of the client’s behavior to local authorities or law enforcement

Clients agree to comply with these conduct expectations and acknowledge that RJT Travels reserves the right to take appropriate action in response to any violations.

8.5 Client Conduct with Third-Party Vendors

Clients are expected to behave in a respectful and professional manner when interacting with third-party vendors, including hotels, cruise lines, airlines, tour operators, and other travel service providers. RJT Travels is not liable for the consequences of a client’s disruptive, inappropriate, or unlawful behavior during their trip.

Service providers reserve the right to cancel services, refuse participation, or remove clients from tours, events, or accommodations due to misconduct. No refunds will be issued in such cases. Clients agree to comply with the behavioral policies of each service provider and to hold RJT Travels harmless for any resulting claims, damages, or denied services.

9. Data, Privacy, and Communications

9.1 Collection and Use of Client Information

RJT Travels may collect and use client information that is reasonably necessary to provide travel-planning, booking, payment, customer-service, marketing, event, promotion, and administrative services.

This information may include names, contact information, dates of birth, travel preferences, loyalty-program details, emergency-contact information, passport or travel-document information, payment authorizations, booking details, supplier confirmations, and other information reasonably necessary to arrange or support travel services.

RJT Travels may share client information with suppliers, booking platforms, payment processors, insurance providers, transportation providers, event organizers, promotional partners, government authorities, and other third parties when reasonably necessary to arrange travel, process payments, administer promotions, comply with legal obligations, respond to emergencies, or provide requested services.

9.2 Client Information Management and Third-Party Platforms

RJT Travels may use customer relationship management platforms, booking platforms, payment processors, email platforms, text-message platforms, document-signing platforms, supplier portals, and other third-party technology providers to manage client information and provide services.

These platforms may store, process, transmit, or otherwise handle information necessary to provide travel services. RJT Travels may change providers, platforms, or systems from time to time when reasonably necessary for business, security, operational, or service reasons.

RJT Travels currently uses third-party systems and payment platforms that may include TravelJoy, Stripe, Square, PayPal, Mailchimp, TokenEx, supplier portals, and other providers selected by RJT Travels. The availability, features, privacy practices, and security practices of third-party platforms are governed by the applicable provider's own terms and policies.

9.3 Data Retention

RJT Travels may retain client information, booking records, payment authorizations, communications, travel documents, supplier confirmations, forms, and related records for as long as reasonably necessary for business, accounting, tax, legal, dispute-resolution, supplier, insurance, and client-service purposes.

Clients may request deletion of certain personal information by contacting RJT Travels in writing. However, RJT Travels may retain information where necessary to comply with law, resolve disputes, enforce agreements, maintain required business records, process pending travel arrangements, respond to charge disputes, or meet supplier, tax, insurance, accounting, or legal obligations.

9.4 Confidentiality and Authorized Disclosure

RJT Travels will use reasonable efforts to protect the confidentiality of client information.

RJT Travels may disclose information to travelers listed on the reservation, authorized booking contacts, suppliers, payment processors, insurance providers, emergency contacts, legal authorities, government agencies, professional advisors, and other parties when reasonably necessary to provide services, resolve disputes, protect client safety, comply with law, or enforce these Terms and Conditions.

Clients are responsible for clearly identifying any person who is authorized to receive information or make changes regarding a reservation. RJT Travels is not responsible for delays, errors, or denied assistance caused by unclear, outdated, incomplete, or conflicting authorization instructions.

9.5 Payment Security

RJT Travels does not intentionally store full credit-card numbers, CVV codes, or other sensitive payment-card data on its own systems.

Payments and payment authorizations may be processed through approved third-party payment platforms and processors. Clients acknowledge that payment transactions are subject to the terms, security practices, and processing requirements of the applicable payment platform, supplier, bank, card issuer, or processor.

RJT Travels will use reasonable efforts to utilize reputable payment platforms and secure practices. However, RJT Travels cannot guarantee that third-party payment processors, banks, suppliers, websites, networks, or technology providers will never experience errors, outages, unauthorized access, fraud, or security incidents.

9.6 Security Incidents and Data Breach Notice

RJT Travels uses reasonable administrative, technical, and operational safeguards intended to protect client information.

If RJT Travels becomes aware of a security incident involving client information, RJT Travels will investigate and take reasonable steps to contain, assess, and address the issue. Where notice is required by applicable law, RJT Travels will provide notice to affected individuals and other required parties in accordance with applicable legal requirements.

RJT Travels is not responsible for security incidents, unauthorized access, outages, fraud, or data loss caused by third-party suppliers, payment processors, email providers, telecommunications providers, internet providers, client devices, client passwords, compromised accounts, or events outside RJT Travels' reasonable control.

9.8 Marketing Communications

RJT Travels may send marketing communications, travel offers, event invitations, newsletters, destination updates, referral opportunities, giveaway announcements, and promotional content by email or other permitted methods.

Clients may opt out of marketing emails by using the unsubscribe link included in the message or by contacting RJT Travels.

Marketing text messages will be sent only where the client has separately provided any consent required by applicable law. Consent to receive marketing text messages is not a condition of purchasing travel services, entering a promotion, or receiving customer-service communications.

Message frequency may vary. Message and data rates may apply. Clients may opt out of marketing texts by replying STOP or using another reasonable opt-out method provided by RJT Travels.

9.9 Privacy Policy

RJT Travels' Privacy Policy provides additional information regarding how client information may be collected, used, stored, shared, and protected.

In the event of a conflict between this Section and the Privacy Policy, the Privacy Policy will control with respect to privacy and data-handling practices, unless a specific written booking agreement provides otherwise.

9.10 Artificial Intelligence and Technology-Assisted Services

RJT Travels may use artificial intelligence tools, automation tools, software platforms, templates, and other technology-assisted processes to help with travel planning, customer support, content creation, administrative tasks, itinerary suggestions, research, and communication preparation.

Technology-assisted content may contain errors, omissions, outdated information, or inaccuracies. Clients remain responsible for reviewing quotes, booking confirmations, supplier terms, travel documents, and other final materials.

RJT Travels will use reasonable efforts to review important client-facing booking information before it is finalized, but clients should not rely solely on AI-generated, automated, preliminary, or informal communications when making final travel decisions.

10. Group Travel and Special Circumstances

10.1 Group Booking Responsibilities

In the case of group travel bookings, the lead client or organizer is responsible for:

Communicating deadlines and payment expectations to all group members

Ensuring accurate information is provided for all travelers

Coordinating with RJT Travels on changes, cancellations, or modifications

Individual members of the group are responsible for meeting payment deadlines and adhering to cancellation and change policies. Should a group member cancel or default on payment, the lead client may be responsible for any resulting fees, penalties, or adjustments required to preserve the group booking.

RJT Travels reserves the right to assess additional coordination or administrative fees for group bookings requiring extensive support.

10.2 Removal of Agent from Booking

RJT Travels reserves the right to treat the removal of an agent from a booking as a cancellation. In such cases, RJT Travels may seek a cancellation fee of up to 10% of the total cost of the trip booked before tax. This fee will be charged to the payment method provided to the travel agency.

Regardless of any amounts still owed to the provider or supplier, if the client removes the agent from the booking, it will be considered a cancellation. RJT Travels is entitled to charge the cancellation fee to compensate for the time and effort invested in managing the booking. The removal of an agent from a booking is only valid once a trip has been booked and either a deposit or full booking fee has been paid.

Regardless of the reason for removal, if the client calls and removes the agent or agency from the booking, RJT Travels is still entitled to direct compensation from the client who made the removal. This applies irrespective of any commission or compensation still paid by the supplier or vendor. The client agrees to this compensation as recognition of the services and time provided by RJT Travels up to the point of removal.

Removal of the agent from a booking does not waive applicable fees.

10.3 Third-Party Booking Disclaimer

RJT Travels is not responsible for any travel arrangements, reservations, purchases, or services made independently by the client outside of RJT Travels’ booking process. This includes but is not limited to airfare, accommodations, excursions, event tickets, tours, transfers, and activities not secured through RJT Travels. RJT Travels does not provide support, management, or liability coverage for any aspect of travel booked through third parties, regardless of whether it coincides with travel booked through RJT Travels.

10.4 Non-Responsiveness During Travel

RJT Travels will make reasonable efforts to assist clients with in-trip issues or emergencies. However, RJT Travels is not liable for any failure to resolve issues if the client is unresponsive, unreachable, or does not follow prescribed instructions. Clients are responsible for maintaining open lines of communication and checking their email and mobile devices during travel. Failure to respond may limit RJT Travels’ ability to provide support or intervene with vendors on the client’s behalf.

10.5 Electronic Signature Validity

Electronic signatures, approvals, authorizations, and form submissions executed by the client are legally binding and enforceable. By electronically submitting booking forms, authorizations, or agreements, clients consent to the use of such digital documentation under the Electronic Signatures in Global and National Commerce Act (E-SIGN Act). These digital approvals carry the same weight as handwritten signatures.

10.6 Limitations of Assistance for Travel Delays

While RJT Travels will make reasonable efforts to assist with travel interruptions, delays, cancellations, or other disruptions, it cannot guarantee rebooking, availability, or compensation on behalf of suppliers. Real-time itinerary management during travel is not guaranteed. Clients are advised to obtain comprehensive travel insurance that includes trip delay or interruption coverage. RJT Travels shall not be liable for any costs, losses, or missed experiences resulting from these types of disruptions.

10.7 Acknowledgment of Supplier Terms

By booking travel services through RJT Travels, clients acknowledge and agree to abide by the terms and conditions of all third-party suppliers involved in their travel itinerary. This includes but is not limited to airlines, cruise lines, tour operators, resorts, transportation companies, and insurance providers. RJT Travels is not responsible for any penalties, cancellations, or denied services resulting from the client’s failure to review and comply with supplier policies. Clients agree to independently review and consent to the terms and conditions of each travel supplier used in their itinerary, including refund policies, change fees, and health/safety protocols, prior to final payment.

10.8 Final Authority Clause

RJT Travels reserves the right to interpret and enforce its terms and conditions as necessary to protect its business operations, staff, and reputation. In any circumstance not explicitly addressed within this agreement, RJT Travels retains sole discretion and final authority to determine how to proceed. This includes, but is not limited to, the resolution of client concerns, cancellation procedures, and exceptions to policy. All decisions made by RJT Travels under this clause are considered final and binding.

10.9 Group Travel Terms and Contract Priority

These Group Travel Terms apply to all group travel arrangements coordinated by RJT Travels unless a written group agreement, supplier contract, or booking confirmation specifically provides otherwise.

Group-specific documents may include additional or different terms relating to pricing, payment schedules, room blocks, minimum room commitments, cancellation deadlines, attrition, amenities, event space, transportation, excursions, complimentary rooms, upgrades, or other arrangements. In the event of a conflict, the written group agreement or applicable supplier contract shall control only as to the specific conflicting provision.

All travelers and group organizers remain responsible for reviewing and complying with the applicable supplier terms, payment deadlines, travel documentation requirements, cancellation policies, and group-specific agreements.

10.10 Missed Deadlines and Supplier Changes

RJT Travels is not responsible for losses, rate changes, cancellation penalties, reduced availability, lost amenities, changes to room assignments, or other supplier-imposed consequences resulting from late payments, missed rooming-list deadlines, incomplete traveler information, delayed approvals, traveler cancellations, or nonpayment by any group member.

Supplier pricing, taxes, fees, inventory, schedules, room categories, group benefits, and amenities remain subject to availability and may change in accordance with supplier terms. RJT Travels will make reasonable efforts to communicate material changes once received but cannot guarantee that a supplier will honor prior availability, pricing, or requested group arrangements.

10.11 Group Organizer Communications

RJT Travels may reasonably rely on the designated group organizer for information, approvals, rooming instructions, and communications relating to the group booking. Notices, payment reminders, deadline notices, supplier updates, and booking changes sent to the designated organizer will be considered communicated to the group unless RJT Travels agrees otherwise in writing.

The group organizer is responsible for sharing applicable information with group members. Each traveler remains responsible for confirming the accuracy of their own travel documents, making required payments, and complying with all applicable terms.

10.12 Individual Traveler Responsibility Within a Group

Each group traveler is responsible for their own payments, documents, conduct, changes, cancellations, and compliance with supplier policies. A traveler’s cancellation, failure to pay, no-show, roommate change, or other modification may result in repricing, loss of occupancy discounts, loss of group benefits, or additional supplier charges to that traveler, their roommate, or the group organizer, depending on supplier rules.

RJT Travels is not responsible for disputes between group members regarding shared rooms, roommate arrangements, payment allocations, reimbursements, or personal travel preferences.

10.13 Group Requests and Amenities

RJT Travels may submit requests for adjacent rooms, shared transfers, dining arrangements, upgrades, private events, special amenities, and similar group preferences. Such requests are not guaranteed and remain subject to supplier approval, availability, operational needs, and change without notice.

Unless specifically confirmed in writing by the supplier, RJT Travels does not guarantee room proximity, identical room locations, shared flight schedules, coordinated transfers, dining reservations, upgrades, complimentary rooms, or group amenities.

10.14 In-Travel Complaints and Supplier Claims

Clients must promptly report any material issue with accommodations, transportation, excursions, events, or other travel services directly to the applicable supplier while the client is traveling and while the supplier has a reasonable opportunity to investigate or correct the issue.

Clients should also notify RJT Travels as soon as reasonably possible if assistance is requested. Failure to promptly report an issue may limit the supplier's ability to investigate, correct, document, or compensate for the concern and may affect any refund, credit, insurance claim, or other remedy.

RJT Travels may assist clients in communicating with suppliers when reasonably possible; however, RJT Travels does not control supplier complaint decisions, refund decisions, credits, compensation, or claim outcomes.

12. Giveaways, Promotions, Contests, Sweepstakes, Events, and Hole-in-One Sponsorships

12.1 Promotion-Specific Rules

From time to time, RJT Travels may offer, sponsor, co-sponsor, participate in, promote, administer, or assist with giveaways, sweepstakes, contests, hole-in-one sponsorships, prize promotions, travel promotions, events, social gatherings, booking incentives, referral programs, promotional certificates, vouchers, or other promotional opportunities.

Each promotion may have separate official rules, eligibility requirements, entry methods, entry deadlines, prize descriptions, approximate retail values, restrictions, winner-selection methods, verification requirements, redemption requirements, travel requirements, and fulfillment procedures.

In the event of a conflict between these general Terms and Conditions and the official rules, event materials, supplier terms, sponsorship agreement, insurance requirements, or written terms for a specific promotion, the more specific written terms will control only with respect to that promotion.

RJT Travels may act as the sponsor, co-sponsor, administrator, promotional partner, travel booking agency, prize fulfillment contact, event participant, or marketing partner depending on the specific promotion. RJT Travels' role will be determined by the official rules, event materials, sponsorship agreement, supplier terms, or other applicable written promotional documents.

12.2 No Purchase Necessary and Eligibility

For any sweepstakes, random drawing, or chance-based promotion, no purchase, payment, booking, donation, or other consideration is necessary to enter or win, and a purchase, payment, booking, donation, or other consideration will not increase the chance of winning.

Certain contests, events, referral programs, booking incentives, or skill-based promotions may have separate eligibility, participation, purchase, attendance, booking, or submission requirements that will be clearly stated in the applicable official rules or promotional materials.

Unless otherwise stated in the official rules for a specific promotion, entrants must be at least eighteen (18) years of age and legal residents of the United States at the time of entry. Certain promotions may have additional age, residency, location, licensing, identification, travel-document, attendance, or other eligibility requirements.

Promotions are void where prohibited by law. Entrants and participants are responsible for confirming that they are legally eligible to participate under all applicable federal, state, local, international, venue, supplier, and event rules.

RJT Travels reserves the right to require proof of identity, age, residency, eligibility, compliance with the official rules, and any other documentation reasonably necessary before awarding or fulfilling a prize.

Employees, representatives, contractors, promotional partners, event organizers, vendors, suppliers, immediate family members, household members, or other restricted parties may be ineligible to participate if stated in the official rules for a specific promotion.

12.3 Third-Party Platforms and Social Media Release

RJT Travels may use third-party giveaway, sweepstakes, contest, event, referral, social-media, or promotional platforms to collect entries, verify actions, select potential winners, communicate with entrants, manage event registrations, administer promotional activities, and assist with compliance.

By entering or participating, entrants acknowledge that RJT Travels may reasonably rely on records, reports, verification tools, winner-selection tools, activity logs, and other information provided by such third-party platforms.

Unless otherwise stated in the official rules, RJT Travels promotions are not sponsored, endorsed, administered by, or associated with Facebook, Instagram, TikTok, YouTube, LinkedIn, X, Gleam, or any other social-media platform or third-party platform.

By participating, entrants agree to release Facebook, Instagram, TikTok, YouTube, LinkedIn, X, Gleam, and any other applicable social-media or third-party platform from claims, liability, damages, losses, or expenses related to the promotion, except where prohibited by law.

12.4 Right to Cancel, Modify, Suspend, or Correct Promotions

RJT Travels reserves the right to cancel, suspend, modify, extend, shorten, correct, substitute, postpone, or end any giveaway, sweepstakes, contest, hole-in-one sponsorship, prize promotion, event, travel promotion, or promotional campaign when reasonably necessary.

This may include, but is not limited to, technical issues, platform outages, suspected fraud, unauthorized entry methods, tampering, lack of eligible entries, event cancellation, weather, course conditions, scoring issues, errors in promotional materials, prize unavailability, changes in supplier availability, changes in social-media platform rules, insurance or underwriting requirements, legal or regulatory concerns, force majeure events, or any situation that may affect the fairness, integrity, security, safety, or proper administration of the promotion.

RJT Travels will not intentionally cancel, modify, or suspend a promotion in a deceptive or unlawful manner or in a manner inconsistent with a prize already confirmed to an eligible winner, except where fulfillment is prevented or materially affected by circumstances outside RJT Travels' reasonable control.

12.5 Entry Issues, Errors, and Disqualification

RJT Travels is not responsible for lost, late, incomplete, invalid, misdirected, delayed, deleted, failed, corrupted, or otherwise defective entries; technical malfunctions; internet or platform outages; account restrictions; privacy settings; email delivery issues; spam filtering; incorrect contact information; or any other issue that may prevent an individual from entering, being contacted, or participating.

RJT Travels reserves the right to disqualify any entrant or participant who violates the official rules; tampers with or attempts to manipulate the entry process; uses automated, fraudulent, deceptive, or unauthorized entry methods; submits false information; creates multiple or fake accounts; acts in an abusive, threatening, discriminatory, unsafe, or inappropriate manner; violates event, supplier, venue, golf-course, or platform rules; or otherwise attempts to undermine the fairness, integrity, security, or proper administration of a promotion.

RJT Travels may void entries, remove participants, deny prizes, or select an alternate winner where reasonably necessary to protect the integrity of a promotion.

12.6 Prizes, Approximate Retail Value, Substitutions, and Taxes

Prize details, approximate retail value, restrictions, and redemption requirements will be stated in the official rules or promotional materials for each specific promotion.

Prizes are awarded as-is, with no warranties or guarantees from RJT Travels beyond what is expressly stated in writing. RJT Travels reserves the right to substitute a prize, travel arrangement, supplier component, certificate, credit, event benefit, or other promotional award with an item or arrangement of equal or greater approximate value if the advertised prize becomes unavailable or cannot reasonably be awarded.

Winners are solely responsible for all federal, state, local, foreign, or other taxes, fees, expenses, documentation requirements, travel documents, transportation, meals, gratuities, baggage fees, resort fees, insurance, incidentals, upgrades, and other costs associated with accepting or using a prize unless expressly stated otherwise in the official rules.

RJT Travels may require a potential winner to provide a completed Form W-9, taxpayer identification information, or other tax documentation before awarding or fulfilling a prize where reasonably necessary for tax reporting, legal compliance, or prize administration.

12.7 Prize Expiration, Redemption, and Non-Transferability

Unless otherwise stated in the official rules or promotional materials for a specific promotion, all prizes, travel certificates, travel credits, booking discounts, vouchers, promotional awards, event credits, and similar items must be redeemed within twelve (12) months of the date the winner is notified or the prize is issued, whichever occurs first.

Any unused prize, certificate, voucher, credit, discount, promotional award, or other benefit will expire after the applicable redemption period and will have no cash value.

Specific promotions may include a shorter or longer redemption period, booking deadline, travel window, blackout dates, supplier restrictions, or additional requirements. Any promotion-specific written terms will control over this general twelve-month expiration period.

Prizes are non-transferable unless otherwise approved by RJT Travels in writing. Prizes may not be sold, auctioned, bartered, assigned, exchanged, gifted for value, or used for commercial purposes. No cash alternative will be provided unless required by law or specifically stated in the official rules.

12.8 Winner Selection, Notification, Verification, and Forfeiture

Potential winners may be selected through a random drawing, judging process, third-party platform tool, verified referral process, hole-in-one verification process, or another method stated in the official rules.

For chance-based promotions, odds of winning depend on the number of eligible entries received.

A potential winner is not considered an official winner until eligibility has been verified and all required steps have been completed. RJT Travels may require a potential winner to complete verification forms, eligibility confirmations, releases, affidavits, tax forms, travel forms, publicity releases, liability waivers, or other documents before a prize is awarded.

If a potential winner cannot be contacted, does not respond within the stated timeframe, fails to complete required verification steps, declines the prize, is found to be ineligible, violates the official rules, provides false information, or fails to meet any applicable deadline, the prize may be forfeited and an alternate winner may be selected at RJT Travels' discretion, if applicable.

12.9 Publicity and Winner Announcement

Except where prohibited by law, each winner grants RJT Travels permission to use the winner's name, city, state, likeness, voice, photograph, video, testimonial, social-media username, prize-related content, and general prize information for promotional, advertising, publicity, event, and marketing purposes without additional compensation.

RJT Travels may announce winners through its website, social-media accounts, email communications, event materials, press materials, promotional materials, or other marketing channels.

Where reasonably necessary or required, RJT Travels may provide a winner list or official rules upon request in the manner stated in the applicable promotion materials.

12.10 Entry Content and Intellectual Property

If a promotion requires or permits an entrant to submit photographs, videos, written content, testimonials, reviews, golf footage, social-media posts, comments, or other materials, the entrant represents and warrants that they own or have permission to submit the material and that the material does not violate any third-party right, including copyright, trademark, privacy, publicity, or other intellectual-property right.

By submitting entry content, the entrant grants RJT Travels a worldwide, royalty-free, non-exclusive, perpetual right to reproduce, display, publish, modify, adapt, distribute, and use the submitted material in connection with the promotion and RJT Travels marketing, subject to applicable law.

RJT Travels may remove, decline, or disqualify submitted content that is unlawful, offensive, misleading, unsafe, infringing, defamatory, or inconsistent with the promotion or RJT Travels' business standards.

12.12 Travel Companions and Shared Travel Prizes

Where a travel prize includes more than one traveler, any companion must meet all applicable age, identification, passport, visa, supplier, health, and travel requirements. Companions may be required to travel on the itinerary designated by RJT Travels and complete required releases, waivers, supplier forms, and travel documents.

If a companion is unable or unwilling to travel, RJT Travels is not required to provide a replacement companion, additional prize value, cash alternative, revised itinerary, or additional accommodation.

Any companion-related travel cost not expressly included in the official rules is the responsibility of the winner and/or companion.

12.13 Hole-in-One Sponsorships

RJT Travels may sponsor, co-sponsor, promote, or help fulfill hole-in-one contests or similar golf-related prize promotions.

Any hole-in-one prize is subject to the official contest rules, golf-course rules, tournament rules, insurance provider requirements, witness requirements, yardage requirements, shot requirements, tee designation requirements, participant eligibility rules, scorecard requirements, event timing requirements, and any other verification requirements stated for that specific event.

A hole-in-one is not considered valid for prize purposes unless all official rules and verification requirements are satisfied.

RJT Travels is not responsible for denied claims, rejected prize submissions, insurance carrier decisions, tournament administration issues, course conditions, weather, event cancellation, scoring disputes, witness disputes, player eligibility issues, or failure by the event organizer, course, participant, or any third party to follow the official contest rules or insurance requirements.

RJT Travels reserves the right to require written verification from the course, event organizer, witnesses, insurance provider, tournament administrator, or other applicable parties before any prize is confirmed or fulfilled.

12.14 Third-Party Insurance Agencies and Claim Verification

Some RJT Travels giveaways, contests, hole-in-one sponsorships, prize promotions, travel-related promotions, or events may involve a third-party insurance company, insurance agency, underwriting company, prize-indemnity provider, claims administrator, or similar third-party provider.

These providers may be used to insure, administer, verify, approve, deny, investigate, or fulfill certain prizes, including hole-in-one prizes, travel prizes, vacation prizes, high-value prizes, or event-based promotional prizes.

By entering, registering for, claiming, or participating in a promotion involving a third-party insurance agency or prize-indemnity provider, entrants and participants authorize RJT Travels to share necessary information with that provider and its representatives. This may include names, contact information, eligibility information, event details, entry details, witness information, prize claim information, travel details, booking information, tax documentation, signed releases, affidavits, photos, videos, scorecards, course verification, and other documentation reasonably required to verify eligibility, process a claim, administer the promotion, or fulfill the prize.

RJT Travels is not the insurance company, insurance agency, underwriter, or claims administrator unless expressly stated in writing. Any insurance coverage, prize-indemnity coverage, claim approval, claim denial, investigation, payment, or fulfillment decision made by a third-party provider is outside RJT Travels' control.

12.16 Marketing Communications and Future Events

By entering, submitting information for, registering for, or participating in any RJT Travels giveaway, sweepstakes, contest, hole-in-one sponsorship, prize promotion, event, or other promotional opportunity, entrants and participants agree that RJT Travels may send promotion-related, winner-verification, prize-fulfillment, transactional, legal, administrative, and event-related communications using the contact information provided.

Marketing emails, calls, and text messages will be sent only as permitted by applicable law and subject to applicable opt-out rights. Entry into a promotion does not require consent to receive recurring marketing text messages unless the entrant separately provides any consent required by law.

Entrants and participants are responsible for providing accurate contact information. Opting out of marketing communications does not prevent RJT Travels from sending non-marketing communications necessary to administer a promotion, verify a winner, fulfill a prize, address a legal issue, or communicate a material change.

12.17 Limitation of Liability and Release

By entering or participating in any giveaway, sweepstakes, contest, hole-in-one sponsorship, prize promotion, event, or other promotional opportunity, entrants and participants agree, to the fullest extent permitted by law, to release, indemnify, defend, and hold harmless RJT Travels, its owners, employees, contractors, partners, vendors, suppliers, promotional partners, third-party platforms, event organizers, golf courses, insurance providers, and related parties from claims, damages, losses, liabilities, costs, or expenses arising out of or related to participation in the promotion, the awarding of a prize, or the acceptance, possession, use, misuse, loss, or inability to use a prize.

RJT Travels is not liable for injury, loss, damage, delay, cancellation, substitution, disappointment, technical issue, platform issue, event issue, course issue, supplier issue, insurance issue, or other claim arising from or related to a promotion, except where prohibited by law.

Entrants and participants take part voluntarily and assume all risks related to participation and any prize accepted.
